Four Steps to a Successful PTA, PTO or Booster Club Event

When it comes to putting an even together for your PTA, PTO or Booster Club, it can be hard to know where to start. Knowing what you need, who to call, what to book and how to stay in budget for your special event is overwhelming, especially for an already busy parent. 

Whether you are planning a bake sale, a craft fair or a talent show, here are four easy steps you can take to make sure your Parent Group event is successful…

1. Your Team 

Many PTAs, PTOs and Booster Clubs hold monthly or biweekly meetings to talk through how things are going and what events they have planned. As you talk through an upcoming event you have planned for your group, make sure you organize a good team to help. 

Assigning a point person, like an Event Manager, to oversee the event will be beneficial in making sure everything is clearly communicated and running smoothly. Then assign individual roles to other team members to make sure things like venue management, food and entertainment don’t fall through the cracks.

2. Your Goal

Once you have your team together, come up with a tangible goal and the steps you need to take to get there.Once you know your goal, you can work together as a team to figure how you want to make it happen. If your goal is to raise money (which it often is), then maybe your way of achieving that is through an auction or a cookout. Either way, make sure your team knows their objectives.

3. Your Plan 

Now that you have a team that knows what its objectives are, it is time to create a plan! 

Here are a few things your plan should include (and remember you can turn some of these into a role for a member on the team):

  • A date and time for the event
  • The venue, logistics, & catering
  • Speakers and Host
  • Activities and entertainment
  • Promotions (online and offline)
  • Volunteer management 

4. Your Coverage

Your PTA, PTO or Booster Club has now gone through all this effort to create an amazing event, but not purchasing proper coverage is a risk you don’t want to take.
